How to join whatsapp broadcast

How to Broadcast WhatsApp Messages [Nov 2022]

If your customers are WhatsApp users, you should know how WhatsApp Broadcast works. In this article, you’ll learn how to create a WhatsApp broadcast list and how to send a broadcast message on WhatsApp. Whether you are using WhatsApp Business App or WhatsApp API, you’ll learn how to use WhatsApp Broadcast to bulk message your audience.

WhatsApp Broadcast: Micro-Small Businesses

How does WhatsApp Broadcast work? If you are a micro or small business, the WhatsApp Business App has the tools you need to send bulk messages to a limited list of contacts.

WhatsApp Business App is popular among micro-small businesses

Micro and small businesses have a small number of customers per month, so they don’t handle a large volume of messages. For this reason, broadcasting with WhatsApp Business App is a good choice for them.

WhatsApp Broadcast Limit in the WhatsApp Business App

Broadcasting with WhatsApp Business App has several limitations. For example, it’s not possible to import contact lists. Instead, phone numbers must be manually added one by one. But there’s more.

WhatsApp broadcasts are not always guaranteed to reach their recipients. The WhatsApp Business Policy prohibits businesses from spamming, so contacts must save the sender’s number on their phones to receive broadcasts.

Broadcast list on WhatsApp Business App

Make sure all the contacts in the WhatsApp Broadcast list have saved your number in their address book. There is no limit to the number of Broadcast lists you can create. You can select up to 256 contacts per Broadcast list.

How to Send a WhatsApp Broadcast with the WhatsApp Business App

Broadcasting with WhatsApp Business App is free. This means you can send as many broadcasts as permitted without any costs. But keep in mind that contacts can block or report your number if they feel you are spamming them.

You can use WhatsApp Business App on a maximum of two devices at the same time. However, only one of those devices can be a phone.

To send a broadcast with WhatsApp Business App, select your recipients manually or using labels. Labels are tags that help users classify contacts and messages. This way, users can broadcast to a specific audience, such as returning customers.

Broadcasting on WhatsApp Business App: Features

Simply create multiple labels and add them to contacts over time. Keeping contacts updated with the right labels will make broadcasting less time-consuming. Alternatively, you can tag the contacts one by one for every new broadcast you send.

Here’s a step-by-step guide on how to create a broadcast list on WhatsApp:

  1. Go to WhatsApp > More options > New broadcast.
  2. Search for or select the contacts you want to add.
  3. Tap the check mark. This will create a new broadcast list.

For SMEs and enterprises, a limit of 256 unique broadcasts is not convenient. Plus, not being able to import contact lists is definitely an issue. Due to their size, these companies also need a solution for multiple users.

WhatsApp Broadcast API: SMEs & Enterprises

The best solution for SMEs and enterprises is WhatsApp API. To broadcast messages with WhatsApp API, businesses only need two things: A messaging inbox and a WhatsApp API account.

We recommend using 360dialog WhatsApp API and respond.io as a messaging inbox

If you don't have a WhatsApp API account yet, you’ll have to choose between WhatsApp Cloud API and WhatsApp Business API. Both have their pros and cons, so make sure you understand the main differences between them.

WhatsApp Broadcast API comes with important benefits that you won’t experience in the WhatsApp Business App:

  • It supports Multiple users
  • Contacts don’t have to add you to their contact list to receive a broadcast
  • You’ll be able to message a much larger WhatsApp broadcast list
  • It allows contact import
WhatsApp API broadcasts come with multiple benefits for SMEs and enterprises

If you want an omnichannel messaging inbox that is feature-rich, try respond. io for free. Next, we’ll go through the process of broadcasting with 360dialog WhatsApp API and respond.io as a messaging inbox.

Step 1: Import a Contact List

With respond.io, Users can upload a Contact list using a CSV file. They also can assign tags to contacts in the CSV file to categorize them. Later on, these tags will appear on the platform once the Contact list is uploaded. Make sure the phone numbers are in the international format, with a country code and area code.

Importing a WhatsApp broadcast Contact list to respond.io

To import a Contact list, open the Contacts Module and follow these steps:

  1. Go to Add Contact and click on the 🔽 button.
  2. Select Import Contacts.
  3. Download the sample CSV file if you don’t have it yet.
  4. Fill the file with Contact data.
  5. Drop the file or click on Browse Files to upload it.

When the import is complete, you’ll receive an email with the results. You can choose to download them if you wish. Once your WhatsApp broadcast list is ready, it’s time to create a Message Template.

Step 2: Create a Message Template

WhatsApp must approve all Message Templates before use. 360dialog and Vonage users can create and submit Message Templates directly from respond.io. But Twilio users need to create them in the Twilio Console and add the templates manually to respond.io.

You can view the status of your Message Templates on respond.io. Just make sure to click on the Sync button to update the data.

Users can view, submit and sync their Message Templates

A Message Template’s status can be Submitted, Approved, or Rejected, with reasons provided for the last. In case of Message Template rejection, Users can edit and re-submit them for approval.

Using High-Quality Message Templates matters. Being blocked by Contacts affects a Template’s Quality Rating, which can drop to a Medium or even a Low-Quality Rating.

Low-Quality Message Templates will get a Flagged status. If their Quality Rating doesn’t improve in 7 days, the status will change to Disabled. Under this status, Users can’t send or edit Message Templates.

Users can add interactive buttons and media files to Message Templates

Users who broadcast in WhatsApp with 360dialog API can create Media and Interactive Message Templates. What’s more, they can create a Message Template that combines both message types.

Interactive Message Templates include Call To Action or Quick Reply Buttons. On the other hand, Media Message Templates let Users add a customizable header. This header can be a text, an image, a video, or a PDF file.

Using variables in the message template body to send customized templates

But the customization possibilities don’t end there. When writing the message body, Users can customize the placeholders with variables. This results in a more personalized experience for your WhatsApp broadcast list.

Once your Message Template is composed and approved, you can broadcast it using the respond. io Broadcast Module.

Step 3: Broadcast WhatsApp Messages with WhatsApp API

To start a WhatsApp API broadcast, click on the Broadcast Module and select Add Broadcast. Then name your broadcast, and choose the channel and WhatsApp broadcast list. There you will find several options.

Selecting Broadcast Channel, Name, and Target Audience in the Broadcast Module

Choose between the following criteria: Contacts with ALL of these tags, Contacts with ANY of these tags, and ALL Contacts in this channel. After choosing the criteria, you can select the specific Tags to target.

Below, you’ll find a checkbox that you shouldn't ignore: Only send to contacts who interacted with this channel before. Selecting this will ensure that you comply with Whatsapp's opt-in policy.

Scheduling and testing a Broadcast in the Broadcast Module

Next, select the relevant Message Template and fill in the details. Once the WhatsApp broadcast is ready, schedule it for a specific date and time or test it by sending it to yourself or a Contact of your choice.

Something to remember: When messaging a large WhatsApp broadcast list, Not all messages will arrive at the exact same time. Broadcasts are delivered according to country codes in sequence, with lower numbers going first.

Three WhatsApp broadcast features you will find on respond.io

Now the question is, how does WhatsApp guarantee that API users are utilizing the broadcast tool as intended? We’ll go into that in the next section.

WhatsApp Broadcast API: What You Need to Know

WhatsApp’s goal is to ensure businesses do not spam their Contacts and send only relevant messages. So to Broadcast with WhatsApp API, businesses must follow WhatsApp’s regulations.

WhatsApp API users should be familiar with the WhatsApp API messaging rules, as well as with the following terms: Messaging Tiers, phone number Quality Rating, and phone number Status. We’ll break them down for you in the sections below.

WhatsApp Broadcast API Messaging Rules

It allows contact import allows non-transactional notifications, such as relevant offers or informational alerts. But as mentioned earlier, businesses must use pre-approved Message Templates.

WhatsApp Business API only allows some types of messages

Businesses must also abide by WhatsApp Business and Commerce Policies to broadcast on WhatsApp. Failure to do so may result in bans on business-initiated messages and responses to customer-initiated messages.

WhatsApp Broadcast Limit: Messaging Tiers

If you are a WhatsApp API user, perhaps you have the following question: How many Contacts can be added to a WhatsApp broadcast list? This will depend on your WhatsApp account Messaging Tier.

A WhatsApp API account’s Messaging Tier determines the number of Contacts an account can message. The higher the Tier, the more messages a User can send to unique Contacts in a rolling 24h period.

How messaging limits work in WhatsApp API

To broadcast to a larger audience, a WhatsApp account has to be promoted to a higher Messaging Tier. And to achieve that, businesses must send twice the number of messages permitted in the current tier within a 7-day period.

When attempting to raise your broadcast tier, tag your contacts ahead of time. This way, you’ll have the exact number of contacts that you need to get to the next tier.

WhatsApp Broadcast Limit: Number Status and Number Quality Rating

Phone number Status and phone number Quality Rating are two metrics used by WhatsApp to determine if a business is sending relevant, high-quality messages. They work in conjunction, as we’ll discuss next.

A phone number status can be Connected, Restricted, or Flagged. In order to send broadcasts without restrictions, a phone number’s status must be Connected. But what does it mean to get the Restricted status?

When Contacts report or block a number, this will result in a low-Quality Rating. The Restricted status occurs when a phone number sends too many low-quality message templates while reaching the Messaging Limit.

Beware of the Flagged and Restricted status before sending WhatsApp broadcasts

While Restricted, a phone number will not be able to send broadcasts to any new unique Contacts, and can only respond to inbound conversations. If the Quality Rating drops too low, the phone number’s status will be changed to Flagged.

Businesses cannot upgrade messaging limit tiers while in the Flagged status. If the phone quality rating doesn’t improve in 7 days or fewer, the phone number status will return to Connected but it will be in a lower Messaging Tier.

To improve your number quality rating and reinstate your status as Connected, you’ll have to improve the quality of your broadcast or Message Templates.

In this article, we’ve covered everything you need to know to broadcast on WhatsApp. To segment customers, and schedule and test WhatsApp broadcasts, get 360dialog WhatsApp API here at a very competitive price.

Create WhatsApp Broadcast List – WhatsApp Business API & Team Inbox

If you are on this page, you are probably a business that wishes to target your customers/audience via WhatsApp Broadcast Messages.

There are so many free/paid tools out there claiming to help you create a WhatsApp broadcast list to send messages to the customers in one click, but most of them are not legit.

In this article, I’ll cover all the aspects of the WhatsApp Broadcast, and you’ll be able to figure out how to leverage WhatsApp broadcast for your business.

There are a few ways to start a WhatsApp broadcast. Let’s talk more about WhatsApp broadcast in detail.

Table of Content

What is a WhatsApp Broadcast?

If you are using WhatsApp for daily communications, you might have received a few messages like “Send This Message To 10 More People, and You’ll get good news by the evening”. These are WhatsApp broadcast messages sent to you.

A broadcast refers to sending a signal or message from a single source to multiple destinations simultaneously.

For WhatsApp broadcast, when a WhatsApp user sends a message to multiple recipients in one click, it’s called a WhatsApp broadcast message. This is because no recipients can see the other recipients of the broadcast.

Whether you use the WhatsApp messaging App or WhatsApp Business App, you can initiate a WhatsApp broadcast just by clicking on the three dots on the upper right three-dots menu on the main ‘CHATS’ window.

It’s straightforward to build a WhatsApp broadcast list on WhatsApp Business App to send the desired messages to your audience. But as the folks say, ‘Greate Power Comes With Some Sacrifices’, there are some limitations to this type of broadcast on WhatsApp.

Limitations Of WhatsApp Broadcast using the WhatsApp Business App?

1. Imagine a business with a WhatsApp number and thousands of contacts like you. Now, even if you have not added them, they are regularly spamming your inbox with promotional messages you receive on your SMS daily.

It doesn’t sound good. Does it?

To take care of this, WhatsApp Business App sends a broadcast message only to those users who have saved your number as their contact. So, you can’t send any promotional messages as broadcast. Only contacts who have added you to their phone’s address book will receive your broadcast message.

2. You can select 256 contacts to create a WhatsApp Broadcast list. As a business owner, you may have more contact details than 256. Hence, Broadcast lists on WhatsApp are useless for medium and large businesses.

3. No APIs or integration is available; businesses can’t automate themselves using their APIs and CRM.

Features Of WhatsApp Broadcast using WhatsApp Business App:

If you broadcast message on WhatsApp using WhatsApp App:

  • The message is sent individually to each contact.
  • You can add up to 256 contacts to your WhatsApp broadcast list.
  • Communication is private. Each recipient will receive the message as a regular chat.
  • Recipients are not aware that the message they received is from a broadcast. There will be no such label on the message.
  • The recipient must have your number saved as a contact to receive the message.

Is WhatsApp Broadcast using App enough for your business?

It all depends upon the use case. Let me explain.

If you are a local/small business operating using the WhatsApp Business App, you’ll probably have 100-200 customers you know personally. There is also a possibility they might have saved your WhatsApp Business number on their phone.

In this scenario, you can take advantage of WhatsApp Broadcast lists using your WhatsApp business App, as most of them will likely receive the message you are willing to send.

If you are a well-established medium or large business that has more than 200 clients, you may have concluded that WhatsApp Broadcast using the regular WhatsApp Business App is not your cup of tea.

So, What’s the solution?

Well, in 2018, WhatsApp launched WhatsApp Business API. The purpose is to help SMBs to communicate with their customers on WhatsApp.

To use the WhatsApp APIs, businesses need to verify themselves to activate their Business number for WhatsApp APIs. But WhatsApp alone can’t verify every business around the globe.

To resolve this, WhatsApp provided its WhatsApp APIs to third-party service providers known as WhatsApp Business Solution Partners(BSP).

These BSPs built their systems over WhatsApp Business API to provide the businesses features like WhatsApp CRM, Contact Management, and much more.

With WhatsApp API-enabled business numbers, WATI will broadcast your WhatsApp message to thousands of your customers at the same time.

What is WhatsApp broadcast and how to use it?

First, WhatsApp broadcast means sending a message to multiple contacts. So, to send a broadcast, a mailing list is created that allows you to send text to several people at once. Suppose you are a business owner who regularly wants to promote their products, or an individual who wants to send a holiday greeting to several contacts, or an HR who regularly needs to update employees about events in the office, for this you do not need to send each individual message, and you don't need to create a group. This is where mailing lists come into play.

In the interests of the sender, this is very useful for them as it saves a lot of time since the sender does not have to send messages to contacts individually. As a boon to recipients, their privacy is maintained with mailing lists, as the WhatsApp number is only known to the sender of the broadcast and not to the entire mailing list, unlike in WhatsApp groups where every member can see the number.

You may ask: "Groups do the same, except for the privacy part, why not create a group?" This is because there is a big difference between them.

And what is it? Well, read on!

What is the difference between whatsapp groups and whatsapp broadcast?

I'm assuming you're part of at least one WhatsApp group, if not, who are you? Stranger?

In any case, before we jump right into broadcasting best practices, we need to address the elephant in the room, the differences between groups, and broadcasting. Went!

One-to-many vs. Many-to-many conversations

As you know, WhatsApp groups have many-to-many conversations. This means that every member of the group can send a message, every member of the group can see/read the message. However, this does not apply to WhatsApp broadcasts. The transmissions are conversations from one to another. This means that only the administrator can send a message to the mailing list.

Similar to email, a WhatsApp group is similar to using the CC (copy) option, while WhatsApp broadcast is similar to using BCC (blind carbon copy). So when you send a CC you see everyone's email id and their replies in the thread, but when you send a BCC you don't see other email ids or their replies, the same happens for groups and broadcasts.

Difference in answers

It was about sending a message; there is a difference in the answers. In a group, any member's reply goes into the group conversation and can be seen by everyone in the group. In the case of a broadcast, when the recipient responds, the response is only sent to the sender. So basically, the responses in a WhatsApp group are many-to-many, whereas in a broadcast, the responses to the broadcasts happen privately between the sender and the recipient.

Also read: A beginner's guide to whatsapp status.

No separate chat thread

Although a separate chat thread is created for the mailing list in the sender's chats where it can send future broadcasts, messages sent by broadcast are added to the recipient's individual chat history. Therefore, no separate flow is created for the receiver. Whereas group messages are sent and delivered in the group chat and not in the individual chat history.

The recipient must have saved your number

To add a person to a WhatsApp group, the recipient does not need to have an administrator as a contact, only the administrator must have one in their contact. Also, a new feature was introduced some time ago whereby if you share a WhatsApp group link, there is no limit to being in each other's address book.

But broadcasts require the recipient to have the sender's number in their address book, otherwise the broadcasts will not be delivered.

Confidentiality

In addition, as mentioned earlier, mailing lists will not disclose members' personal information because messages are confidential to the recipient. Moreover, even the responses occur between them privately.

However, one thing that remains unchanged at for both of them is the maximum member limit. WhatsApp provides a maximum of 256 members in both WhatsApp groups and distribution list.

Now that you know the difference between the two, let's start how to use WhatsApp mailing lists.

How to create a WhatsApp mailing list

Before you can send a broadcast message, you need to create a mailing list. Here's how to do it:

  • Open WhatsApp messenger on your Android device.
  • Tap on the three vertical dots (Menu button) present in the upper right corner and select " New Broadcast " from the menu.
  • Tap the contacts you want to add to the mailing list, and then tap the round green checkmark button in the bottom right corner to create the list.

For your information, when you add people to your mailing list, they will not be notified.

Once you hit the check button, a new chat thread will open. To send a WhatsApp message to multiple contacts or broadcast a message, you must use this new broadcast chat thread.

How to broadcast a message on WhatsApp

Once you have created a distribution list (which you can further edit, more on that below), now to send a broadcast message, open the newly created distribution thread and enter your message into it. You get all the features you get in an individual chat or group like Emojis, media sharing, location sharing, etc. .

While the receiver can't tell if a received message is a broadcast or not, the sender is able to distinguish between a normal message and a broadcast message. Firstly, if desired, he can check the mailing list, and secondly, in a separate chat thread, next to the message, there is a broadcast icon.

How to rename a distribution list

By default, WhatsApp saves the number of recipients as the list name. This is fine if you only have one list, but if you have multiple mailing lists or don't like the default name, you can rename it.

To rename a mailing list, follow these steps:

  • Open the mailing list in WhatsApp.
  • Tap the three vertical dots in the top right corner of the list and select " Mailing List Information" from the menu.

  • In the lower right corner of the broadcast image, you will see a pencil icon or an edit icon . Tap it and give your mailing list a name.
  • Touch OK.
How to add/remove people from a mailing list

As mentioned earlier, when you add people to a mailing list, they will not receive notifications, unlike WhatsApp groups. Similarly, when you remove someone from a mailing list or delete a list, they will not be notified. Because, ahem, except for the creator, no one knows that the list even exists.

To add/remove people from the mailing list, follow these steps:

  • Open the mailing list in WhatsApp.
  • Tap the three vertical dots in the top right corner of the list and select " Mailing List Information" from the menu.

  • To add people, click the Add Recipient button under the Recipients section and select the contacts you want to add to the list.
  • To remove people from the list, press and hold the contact under the Recipients section and select " Remove from mailing list".

How to delete the

mailing list To delete a mailing list, follow these steps:

  • Open the mailing list in WhatsApp.
  • Touch the three vertical dots in the top right corner of the list and select " Mailing List Information »From the menu.
  • Scroll down and you will find the " Delete mailing list " option. Touch it and confirm the pop-up menu to delete the list.

Alternatively, long press on the chat broadcast thread in chats and tap the delete icon present in the top bar.

This will delete the list and all sent messages.

How to create a mailing list shortcut

Similar to groups and individual chat threads, you can create a mailing list shortcut on the home screen for quick and easy access.

To do this, follow these steps:

  • Open the WhatsApp mailing list.
  • Tap the three vertical dots in the top right corner of the list, and then tap " Over ".
  • Select « Add label from the menu.

A shortcut for the mailing list will be created on the home screen.

How to leave a mailing list

As a sender, you can remove both the group and the mailing list from your device, but as a recipient, you can only leave WhatsApp groups. This is because, as the recipient, you know which WhatsApp groups you are in, but the same does not apply to WhatsApp broadcasts.

Therefore, to unsubscribe from the mailing list, you either need to ask the sender to stop sending you broadcast messages, or take the final step of blocking or deleting them from your address book.
