This type of campaign can be implemented on multiple channels, email is the most popular one; however, there are currently new ways to send bulk messages with apps like WhatsApp or Telegram.

In fact, with WhatsApp you can send bulk messages by creating a pre-established contact list to whom simply send the message.

It is recommended to create bulk message campaigns with WhatsApp?

We at Callbell do not recommend using the bulk messaging function provided on WhatsApp, because WhatsApp is an app intended as private messaging platform and does not favor the sending of bulk messages at all. Even though WhatsApp has this feature, it does not mean that we can take advantage of it and repeatedly send bulk messages.

This means that we need to use this function with caution. In fact, WhatsApp prohibits SPAM messages, the promotion of products, services, or mass sales, as it can be invasive and annoying for users who use the app, and it is for this reason that we do not recommend its use.

Furthermore, if you decide to use this function, you may be subjected to reports by users who consider your messages as SPAM, thus causing the closure of your account and the blocking of your phone number which, as we all know, is essential for every business. You should also note that, if you decide to use a multi-agent service provider in the WhatsApp Business API, the bulk messaging function will be extremely expensive, and you might be able to only send predefined message templates, without having the possibility to modify them.

How can I create bulk messages on WhatsApp?

To create bulk messages on WhatsApp without having to use an external service provider via the API, you just need to follow these steps:

1) Open WhatsApp or WhatsApp Business.

2) Go to the Chat screen> Menu button> New List.

3) Write the names of the contacts you want to send the message to or press the + button to select them directly from your contact list.

4) Press OK.

5) Press Create.

There you go! All recipients will be grouped into a single list. Next, you will need to create the message you want to send and it will reach everyone in no time. Remember that if they reply, only you will be able to see the message.

It is very important to note that only contacts who have your number saved in their address book will receive your bulk messages. If one of your contacts does not receive the bulk messages, check that they have your phone number saved in the address book; Bulk lists are a way to send a single message to multiple recipients, as WhatsApp warns before sending it.

Another way to send massive messages is through the API and a messaging service provider such as Callbell, where you simply have to select the contacts you want to send the message to, compose it and send it. This function may differ slightly depending on the provider connected to the API.

What is a WhatsApp Business bulk message?

A bulk message is a message that is sent from a single WhatsApp Business user to multiple phone numbers at the same time. All receivers of the message will see it coming in as a private message. WhatsApp bulk messaging first was a consumer-only feature, but it’s now also available for businesses. For businesses, this means they can now also use WhatsApp for outbound marketing activities.

How to send a bulk message via the WhatsApp Business app

First off, there are some limitations to using the regular WhatsApp Business app:

  1. You can only send bulk messages to people who saved you on their phone as a contact. And when is the last time you saved a company’s number in your contacts? Right.
  2. You can only send a bulk message to a maximum number of 256 contacts at a time.
  3. The app can only be used by up to four different users at a time. Which is fine for a small business, but gets problematic fast when you’re working with larger teams.

That being said, here’s how to send a bulk message via the regular app:

  • Open up the WhatsApp Business application
  • Go to chats
  • Find ‘Broadcast lists’ right above your most recent conversation.

After you have added phone numbers to the list, it’s time to name the list and send out a bulk message. The list will automatically be saved, meaning you can send more broadcast messages to the same list later on.

Everything you can do with bulk messaging via the WhatsApp Business API

As I said, the regular WhatsApp Business app works just fine for small companies. Mid-sized and large companies are better off using the WhatsApp Business API.

Before explaining how to set it up, we’ll get into the possibilities and limitations of the API.

Send a bulk message to at least 1000 recipients a day

WhatsApp Business accounts can send a bulk message to up to at least 1000 recipients per day. This amount starts at 1000 customers and scales based on your phone number status, quality rating, and how often you initiate conversations with unique customers.

Reach customers who

don’t have you saved as a contact

A huge plus of using the API is that you actually get to reach your customers. With the regular app, customers need to have you saved as a contact in order for you to be able to send them a bulk message. With the API, this isn’t necessary.

However, this does not mean you should just spam a list of random contacts. Make sure recipients have at some point opted-in or are existing customers.

Schedule a bulk message

You can either decide to send a bulk message on the spot or schedule it to be sent out at a later moment.

Monitor your bulk messages

After your broadcast message has been sent out, you can keep a clear overview of how it’s performing in a dashboard (see image below). The dashboard displays the status of the bulk message (sent, scheduled, sending, or failed). On the right, you can see the cost per sent broadcast message. We’ll get into the cost per message later on in this article.

Answer incoming messages with an unlimited number of users

Another way to manage an influx of incoming replies to your bulk message is using automation. With auto-replies or chatbots, customers will always get a quick reply to their questions or remarks.

The limitations of bulk messaging via the API

To avoid WhatsApp turning into the wild, wild west full of cowboy marketers spamming their customers, Meta put up some much-needed boundaries.

Bulk messages can only be sent with message templates

When sending a bulk message via the API, you have to use so-called template messages. These messages first have to be approved by WhatsApp before you can send them out. Therefore, the templates have to abide by WhatsApp’s commerce policy.

But having to use templates doesn’t mean you can’t personalize them. With placeholders, such as [business name], [receiver name], [order number], and [date], you can leave room to tailor bulk messages to the receiver.

Sending bulk messages isn’t free

Sending a WhatsApp Business template message comes with a cost. The prices vary per country, and an active list of costs can be found here.

This means that to calculate the costs of a bulk message, you can multiply the costs of the template with the number of recipients. In Trengo, you will always get an estimated amount before you send out the bulk message.

Bulk messages will be sent with a slight delay

To avoid system overload, bulk messages will be sent with a slight delay. This means a couple of minutes may pass between the first and the last message being sent out. You can keep a close eye on the status of each message in your dashboard.

On the WhatsApp API site, companies must use a Message Template to send a bulk message to WhatsApp, which may include non-transactional content. However, they must comply with WhatsApp' Business and Commerce policies'. Violating WhatsApp policies may affect your ability to send messages.

You can view the status of message templates at respond.io. There are three statuses - "Submitted", "Approved" and "Rejected". If a message template is rejected, you can find the reason for rejection in the platform. You can edit and resubmit rejected message templates for approval.

In addition to this status, the WhatsApp API provides another measure of quality called Quality Score. Blocking by clients will result in a decrease in the quality rating of the message template. Check out the best practices for maintaining a high quality rating.

Once an approved message template reaches a low quality rating, it will be assigned the Marked status. If the quality rating does not improve within seven days, the status will be changed to Disabled. You cannot send or edit message templates that have the Disabled status.

Special message templates allow you to send bulk WhatsApp messages with interactive buttons and media files.

Things to know before sending a WhatsApp bulk message

To protect its users from spam and encourage quality bulk messages, WhatsApp has introduced phone number levels, phone number status, and phone number quality ratings.

Telephone number levels

The number of recipients you can send bulk messages to using the WhatsApp API depends on the level of your phone number. The higher the level of your phone number, the more unique contacts you can message within 24 hours.

Increase your phone number message limits to send bulk WhatsApp messages to a larger audience.

To send bulk WhatsApp messages to a large audience, you need to upgrade your WhatsApp phone number\. To do this, send twice as many messages as allowed by the current phone number level within seven days.

Phone number status and quality rating

Phone number status and quality rating may affect your ability to send bulk messages on WhatsApp. To send mass messages on WhatsApp without restrictions, the status of the phone number must be "Connected".

When your phone number is reported or blocked, it will be downgraded to Low. Subsequently, its status will change to "Seen". While the number is in the Flagged status, you cannot increase the level of messaging. If the quality rating does not improve within seven days, the status will revert to "Connected" but a lower message limit will be set.

Phone number status may affect your ability to send bulk messages on WhatsApp\.

Your number will become Restricted if it reaches its message limit while having a low quality rating. A phone number with a restricted status can only reply to incoming messages - it will not be able to send bulk WhatsApp messages to new unique Contacts.

To ensure a good quality rating, you should only send high quality bulk WhatsApp messages related to your Contacts.

How WhatsApp mailing works

WhatsApp mailing is an individual sending of messages to users from a company business account. Whatsapp supports formats: text, emoji, pictures, video and audio files, documents, interactive buttons and links.

Messenger has two main options for business mailing

WhatsApp Business App is an application where a manager manually creates and sends messages to a group of contacts. 15,000 messages per month and a limited number of users to send (256 addresses) are available. The functionality does not include integration with third-party services and loading the user base as a list, so the option is more suitable for micro and small companies. Only one phone number (mobile) can be linked to an account.

You can add products to WhatsApp Business and send them to contacts

WhatsApp Business API is a solution that allows you to connect CRM and other services. Mailing automation works, integration with chat bots is also legal without the risk of falling into WhatsApp spam. This path for business is a little more difficult, because settings are needed, and sometimes the involvement of specialists with knowledge of the code. The services that WhatsApp integrates with are paid, but they make it easier to work with clients: they launch message chains and trigger mailings. The messenger also offers to create templates that are approved by the system before being sent to users.

Mailings from a personal account. Any user can send messages to a contact group, but this is not a very good option for business. There is a risk of blocking, there is no mass character: the number of shipments is limited. It is better to leave personal accounts for communication within the team or with partners.
